Position Overview
Seasons Medical is currently seeking two highly organized, detail-oriented, and compassionate Medical Administrative Assistants to join our dynamic and supportive healthcare team. As a Medical Administrative Assistant, you will serve as the cornerstone of front-desk operations, supporting both patients and medical professionals in the clinic. From welcoming patients and managing appointments to handling confidential medical documents and insurance claims, your role will ensure smooth, efficient, and compassionate clinical services.

Key Responsibilities
Your duties and responsibilities will include but are not limited to the following:
Patient Interaction & Case Management

Interview patients to obtain essential personal and medical history information.

Build rapport with patients, ensuring they feel comfortable and respected during interactions.

Maintain a high level of confidentiality and compliance with patient privacy regulations such as PHIA and HIPAA.
Appointment Scheduling

Efficiently schedule, reschedule, and confirm patient appointments using electronic medical record (EMR) systems.

Provide reminders for appointments through phone, email, or text messages as required.

Coordinate appointments with other medical specialists or facilities when needed.
Insurance and Claims Processing

Complete insurance forms and various medical claims accurately and promptly.

Liaise with insurance providers for claim status, coverage verification, and follow-up on pending claims.

Ensure patients are informed of their insurance policies, co-pays, and other related details.
Record-Keeping & Filing

Maintain and organize digital and physical medical files and patient records with meticulous attention to detail.

Adhere to protocols for initiating and maintaining confidential files for both patients and the clinic.

Ensure all documents are updated and archived as per the latest regulatory requirements.
Office & Inventory Management

Order office and medical supplies, maintain stock inventory, and process supply requisitions when necessary.

Maintain a clean, well-organized, and welcoming reception and administrative area.
Clerical & Administrative Support

Determine and implement office procedures and routines to streamline operations.

Create, format, and manage electronic medical reports, spreadsheets, and official correspondence.

Provide general data entry and word processing support using standard office software and EMR tools.
Customer Service

Deliver front-line customer service, answering phones, emails, and in-person inquiries from patients and healthcare providers.

Provide accurate information about clinic services, wait times, and scheduling.

Handle complaints or patient concerns professionally and escalate them to management as required.
Required Qualifications
Language Requirement
-
English (Fluent) — Both written and verbal communication skills are essential.
Educational Background
-
A secondary (high) school graduation certificate is required.

Post-secondary courses or certifications in medical office administration or health unit coordination are considered strong assets.
Experience
-
Minimum of 7 months to less than 1 year of relevant work experience in a medical administrative or office assistant role is required.

Experience with electronic medical records (EMR) systems and knowledge of medical terminology will be considered an advantage.
Working Conditions

Work Hours: 35 to 40 hours per week, typically during the daytime, including early mornings as necessary.

Work Environment: On-site at our Winnipeg clinic. This role requires physical presence due to the hands-on nature of the responsibilities.

Start Date: Immediate opening – selected candidates are expected to join as soon as possible.
