About the Role

Caring 4 Smiles Dental Group is a well-established, family-friendly dental practice operating six days a week in Epsom, Auckland. We’re looking for a full-time Dental Clinic Receptionist to be the welcoming face and warm voice of our clinic. As the first point of contact for our patients, you’ll play a key part in creating a caring, professional environment that reflects our commitment to outstanding dental care.

This is a full-time role with early starts at 7:30 am, Monday through Saturday. We value work-life balance — our practice is closed on Sundays and public holidays.

Your Day-to-Day Responsibilities

In this pivotal role, you’ll help ensure our patients feel comfortable and cared for from the moment they walk through our door or call us on the phone. Your main duties will include:

  • Greeting patients with a warm, friendly manner and providing exceptional service at all times.

  • Answering phone and email enquiries efficiently and professionally.

  • Scheduling and confirming patient appointments, ensuring our appointment system runs smoothly (experience with EXACT, digital X-ray programs, and MS Office is an advantage).

  • Processing payments accurately and managing financial transactions through SMARTLY.

  • Maintaining up-to-date and confidential patient records, including updating medical histories.

  • Ordering and managing clinic supplies and stock levels to support daily operations.

  • Providing general administrative support to the dental team to help deliver seamless patient care.

  • Promoting our practice’s range of dental services and products to patients when appropriate.

What We’re Looking For

Our ideal candidate will be a confident, compassionate people-person with a genuine passion for delivering excellent service. You will have:

  • Previous experience in a customer-facing role — ideally in a dental or healthcare setting.

  • Outstanding verbal and written communication skills, with the ability to build rapport with patients of all ages and backgrounds.

  • A proactive, “can-do” attitude — you take initiative and enjoy working independently in a busy clinical environment.

  • Strong organizational skills with the ability to manage multiple tasks and stay calm under pressure.

  • Good computer literacy and experience with dental practice management software (EXACT experience is highly desirable).

  • A professional, polished, and friendly manner that reflects our values.
